Closr Today processes various categories of personal data, depending on your relationship with us:

Candidates

For individuals applying for employment, we process:

• Name, first name and contact details (email address, telephone number, address)
• Curriculum Vitae and work experience
• Level of education and certificates
• Work history and references
• Salary expectations and preferences
• Availability and location preferences
• Competencies and skills
• Photo/video (if provided)

Job Board Interest Registrations

When you register your interest in a vacancy through the job application form on our website (closr.today), we process:

• First name and last name
• Email address
• Telephone number (if provided)
• LinkedIn profile URL (if provided)
• Any message or motivation you choose to share
• The specific role you registered interest in
• The consent choices you made when submitting the form

We use this information to assess your interest, contact you about the role, and — only with your explicit consent given in the form — to share your details with the hiring company for that specific vacancy. After you submit the form, we send you an automated confirmation email acknowledging your registration.

Reviews & Testimonials

When you leave a review via a personal link we send you, we process:

• Your name, job title and company (as you provide or confirm them)
• Your star rating and written review
• A photo or company logo (only if you upload one or allow us to use one)
• The sharing choice you make (publish with your name & photo, publish anonymously, or keep private/internal only)
• Whether you additionally allow us to use your review on our social media channels
• The date, the version of the consent text you agreed to, and your IP address (for fraud prevention and to evidence consent)

We only publish a review on our website when you have chosen a public option and given data-processing consent; every published review is reviewed by our team first. If you choose "anonymous", we remove your name, company and photo before publishing. If you choose "private", your feedback is used internally only and is never published. You can withdraw your consent or ask us to remove or amend a published review at any time by contacting us — we will action reasonable requests promptly, and in any case within 30 days.

Candidate CVs shared with clients

When we introduce you to a hiring company, we may prepare a Closr CV based on your profile and the CV you shared with us. This document is anonymized: we share your first name only, never your surname or direct contact details, and only include a photo, age or region when relevant and permitted. Closr acts as your point of contact throughout. We share this CV only with the specific client for the relevant vacancy, and only where we have a legitimate basis to introduce you. You can ask us at any time to stop sharing your CV, to correct it, or to tell you which clients received it.

Clients (Employers)

For organizations using our services, we process:

• Company name and contact person
• Contact details (email, phone, address)
• Commercial register number (KvK)
• VAT number
• Bank details for payment
• Required competencies and job specifications
• Communication and correspondence
• Billing information

Website Visitors

When visiting our website, we process:

• IP address
• Browser type and version
• Pages visited and duration of visit
• Referral source
• Search terms used

3. Special Categories of Personal Data

Closr Today normally does not process special categories of personal data (sensitive data such as health, religion, political preference or biometric data). If you voluntarily provide such data, it will only be used for purposes for which you have provided consent.

4. Purposes of Processing

We process personal data for the following purposes:

1. Recruitment and Selection: Matching candidates with vacancies and assisting the hiring process, including processing interest registrations submitted through the job application form on our website.
2. Contact and Confirmations: Communication with you by email, phone or post about our services, vacancies and updates, including automated confirmation emails when you register interest in a role.
3. Billing and Payment: Processing payments and invoicing for our services.
4. Legal Compliance: Complying with Dutch and European laws and regulations, including employment law and tax legislation.
5. Analysis and Improvement: Analyzing anonymous and anonymized data to improve our services and optimize user experiences.
6. Newsletter and Marketing: Sending informational material and offers (only with consent).
7. Security: Protecting our systems and clients against fraud, abuse and unauthorized access.

5. Legal Bases for Processing

We process personal data only on the basis of one of the following legal bases:

1. Contract Performance: Processing is necessary to execute the agreement between you and Closr Today.
2. Legitimate Interest: Processing is necessary for our legitimate interests, such as service improvement, security and fraud detection, provided this does not outweigh your interests.
3. Legal Obligation: Processing is required by Dutch or European laws and regulations.
4. Consent: In some cases, we process data only with your explicit consent (for example, for marketing communication).

6. Retention Periods

Closr Today retains personal data no longer than necessary. The following retention periods apply:

• Candidates: Candidate data is retained for a maximum of one year. After one year, this data is deleted, unless further processing is necessary for legal purposes.
• Clients: Data of clients is retained during the contract period and for a minimum of seven years after termination (required for tax and accounting requirements).
• Website Visitors: Log data and cookies are retained for a maximum of 26 months, unless you provide further consent.
• Legal Obligation: If required by law, we retain personal data longer than normal.

7. Sharing with Third Parties

Closr Today shares personal data only when necessary for the performance of our services or when required by law:

• Employers/Clients: Curriculum Vitae and candidate data are shared only with employers with whom a potential match exists, and only with prior consent from the candidate. When you register interest in a specific vacancy via our website, your details are shared with the hiring company for that vacancy only where you have given explicit, separate consent for that specific role at the time of submission.
• Service Providers: We may share data with third parties supporting us, such as ICT providers, billing and accounting services, and marketing partners. These parties are contractually bound to strict confidentiality.
• Legal Obligations: We may share personal data with government agencies, such as tax authorities, if legally required.
• No International Transfer: We normally do not transfer personal data outside the EU/EEA, unless strict security measures are in place.
